We are the data controller for the personal data described in this policy.

Alpha Vera provides international marketing, business development and patient liaison services. This includes answering enquiries, introducing people to independent healthcare providers in Türkiye, coordinating communication between them, and organising information events and meetings.

Alpha Vera is not a healthcare provider. We do not give medical consultations, diagnoses or treatment. Medical consultations and treatments are provided exclusively by independent healthcare providers in Türkiye, who make their own clinical decisions.

Depending on how you deal with us, we may collect:

• Identity and contact details: name, country, telephone and WhatsApp number, email address, preferred language.
• Enquiry and communication data: the messages, questions and requests you send us by website form, email, telephone, WhatsApp or social media, and our replies.
• Business contact details: if you are a dentist, clinic owner or manager, your name, role, clinic name and business contact details.
• Event and coordination details: where you ask us to help, details needed to arrange meetings, appointments, interpreting, travel dates, accommodation and transfers.
• Technical data: IP address, device and browser information and website usage data, collected through cookies and similar technologies (see our Cookie Policy).
• Preferences and consents: your communication choices and the consents you give us.

If you choose to send us health information (for example medical history, X-rays, photographs, test results or reports), this is special category personal data.

• We ask only for what is needed to pass your enquiry to the provider you want to contact. Where possible, please send sensitive medical documents directly to the provider.
• We do not use health information to diagnose, treat or advise you.
• We process it only with your explicit consent (see our Explicit Consent form), and you can withdraw that consent at any time.

• Responding to your enquiry and taking steps you ask for before a contract: contract (UK GDPR Article 6(1)(b)) and our legitimate interests.
• Passing your enquiry to independent healthcare providers you ask us to contact: contract; for health information, your explicit consent (Article 9(2)(a)).
• Coordinating appointments, interpreting, travel and transfers you request: contract.
• Running information events and meetings: our legitimate interests, or your consent where required.
• Marketing communications: your consent, or our legitimate interests for communications to corporate subscribers where the law allows. You can opt out at any time.
• Website security, operation and analytics: our legitimate interests; consent for non-essential cookies.
• Legal and regulatory obligations, and defending legal claims: legal obligation and legitimate interests.

Only where necessary and proportionate, we may share personal data with:

• independent healthcare providers and professionals in Türkiye that you ask us to contact;
• interpreters, hotels and transfer or travel providers, but only the details needed for their service (they do not receive your medical information);
• technology providers, such as website hosting, email, CRM and messaging services (for example Google, Meta and WhatsApp);
• professional advisers, and public authorities where the law requires it.

Healthcare providers that receive your information from us decide for themselves how to use it and are responsible for their own data protection compliance. We do not sell personal data.

We are based in the UK, but the providers you ask us to contact are in Türkiye, and some of our technology providers process data in other countries. Türkiye is not currently covered by a UK adequacy decision. Where we transfer personal data outside the UK we use a safeguard permitted by UK law, such as the UK International Data Transfer Agreement or Addendum, or, where no other safeguard is available, your explicit consent to the specific transfer.

We keep personal data only as long as needed for the purposes above and for legal or limitation periods.

• Enquiries that do not lead to further work: 12 months
• Business and accounting records: 6 years

Afterwards we delete or anonymise it securely.

We use technical and organisational measures appropriate to the risk, including restricting access to special category data to people who need it.

Under UK data protection law you may have the right to access your data, have it corrected or erased, restrict or object to processing, receive a portable copy, and withdraw consent at any time. To exercise a right, email info@alphaverainternational.co.uk. We will normally respond within one month.

You may also complain to the Information Commissioner’s Office (ICO): ico.org.uk, telephone 0303 123 1113. We would appreciate the chance to resolve your concern first.

Our services are not directed at people under 18, and we do not knowingly collect their data without a parent or guardian’s involvement.
